10 Common eManifest Mistakes That Cause Border Delays (And How to Avoid Them)

2026-03-30

Even experienced carriers make eManifest errors that lead to costly border delays. After processing thousands of cross-border shipments, we've identified the most common mistakes and how to prevent them.

1. Filing Too Late

The Mistake: Submitting your ACE eManifest less than one hour before arriving at the US border, or your ACI eManifest less than one hour before arriving at a Canadian port of entry.

The Fix: File at least 2-3 hours before your expected arrival. This gives you time to correct any errors if your submission is rejected. TruckerPro Border lets you pre-build manifests from templates so filing takes minutes, not hours.

2. Mismatched Driver Information

The Mistake: The driver's name, date of birth, or travel document number on the eManifest doesn't exactly match what's on their physical documents.

The Fix: Always verify driver documents against your digital records. A single transposed digit in a passport number will trigger a hold. Keep your driver profiles updated whenever documents are renewed.

3. Wrong Port of Entry

The Mistake: Filing for one port of entry but arriving at a different one. This is more common than you'd think, especially when drivers change routes due to traffic or weather.

The Fix: Confirm your port of entry before filing. If the route changes after filing, amend the manifest immediately. Don't assume the border officer will sort it out for you.

4. Incorrect Commodity Descriptions

The Mistake: Using vague descriptions like "general merchandise" or "mixed goods" instead of specific commodity descriptions. Both CBP and CBSA require accurate descriptions.

The Fix: Be specific. Instead of "food products," write "frozen boneless chicken breasts, 20,000 lbs, origin: USA." Include HS codes when available. Save your most common commodities as templates to avoid retyping.

5. Missing or Wrong SCAC/Carrier Code

The Mistake: Using an expired SCAC code for US-bound shipments or an incorrect carrier code for Canada-bound shipments.

The Fix: Verify your SCAC code is current with the National Motor Freight Traffic Association (NMFTA). For Canadian shipments, confirm your CBSA carrier code is active. These codes expire and must be renewed.

6. Trailer Number Errors

The Mistake: Entering the wrong trailer number, especially when trailers are swapped at the last minute. The manifest says trailer 5312 but the driver shows up with trailer 5321.

The Fix: Confirm the actual trailer number with the driver before filing. If a trailer swap happens after filing, amend the manifest before the driver reaches the border.

7. Weight Discrepancies

The Mistake: The declared weight on the eManifest doesn't match the weight on the bill of lading or the actual cargo weight. Significant discrepancies trigger inspections.

The Fix: Use actual weights from the bill of lading, not estimates. If the weight changes (partial load, added shipments), update the manifest. A variance of more than 10% is likely to cause problems.

8. Not Including All Shipments

The Mistake: Filing a manifest with only the primary shipment but forgetting to include LTL (less-than-truckload) consolidated shipments or personal effects.

The Fix: Account for every piece of cargo on the truck. If a driver is carrying personal items across the border, those need to be declared too. Review the complete cargo list before submitting.

9. Forgetting to Close or Amend Cancelled Trips

The Mistake: Filing an eManifest for a trip that gets cancelled but never amending or cancelling the electronic submission. This creates phantom manifests in the system.

The Fix: If a trip is cancelled, immediately amend the manifest status. Orphaned manifests can cause confusion on future crossings and may trigger compliance reviews.

10. Copy-Paste Errors from Previous Manifests

The Mistake: Copying a previous manifest to save time but forgetting to update key details like dates, seal numbers, or shipment-specific information.

The Fix: When using a previous manifest as a template, review every field before submitting. TruckerPro Border's template system highlights fields that need updating for each new trip, so you won't accidentally submit stale data.

The Cost of Errors

A single rejected eManifest can cost a carrier $500-$2,000 when you factor in:

- Driver detention time (often $50-$75/hour)

- Missed delivery appointments and penalties

- Re-filing fees if using a broker

- Potential AMPS penalties from CBSA (starting at $2,000 for first offence)

- Damaged customer relationships

Prevention Is Cheaper Than Correction

The best way to avoid these mistakes is to use a system with built-in validation. TruckerPro Border checks for common errors before you submit, including document expiry warnings, weight validation, and port-of-entry confirmation. Catching a mistake before submission costs nothing. Catching it at the border costs a fortune.
